5 Tips for Writing a Professional Email

Writing a professional email can be daunting, especially if you're new to the game or haven't written one for a while. But as someone who regularly writes professional emails, I thought I'd give you some hints and tips for doing it properly. So here are five tips for writing a professional email:

1. Check spelling & grammar

You want to make sure that you're giving off the right impression. That includes checking the basics, like spelling and grammar. Not only does this make sure that you have excellent attention to detail, but also means that you'll get your point across.

2. Stick to the 24-48-hour rule

You shouldn't follow up on an email you've sent in the first 24 hours. You should wait between 24 and 48 hours to send a friendly "push" email. This helps to ensure you aren't being too forceful, and have allowed a reasonable amount of time to pass before asking for an update.

3. Don't forget about auto-reply

One of the mistakes that professional people make is forgetting about the auto reply option. Whether you've forgotten to put your OOO (out of office) on or have neglected to turn it off, it's all too easy to let that slip from your mind, especially when you're so busy. If you have annual leave planned, set a reminder on your phone to put your OOO on, and set another reminder to turn it off, if you haven't set a specific date.

4. Double check before sending

Whether it's checking your spelling and grammar or simply making sure its contents are accurate, you need to make sure that you're checking the email you've created before you send it. Check dates, the CC's, spelling, grammar, facts and stats, signatures and more. 

5. Sign off

Before sending your email, don't forget to sign it off. Whether that be a simple 'from [name]' or a proper digital signature, it's imperative that you sign your email off before sending it on. It oozes professionalism and declares the correspondence finalised.
